Six signs you have outgrown spreadsheets

Spreadsheets work beautifully until a company grows. Here is how to spot the point where they start costing more than they help.

A spreadsheet is the best business program ever written — as long as one person keeps the whole company in their head. The trouble starts later, gradually, which is exactly why it is easy to miss.

Here are six signs we hear most often from companies just before they move to a system.

1. The same number lives in three places and never matches

Stock levels sit in the warehouse manager’s sheet, in the till, and in the accounts. All three are “roughly” right. When it is time to reorder, somebody phones somebody else to find out which version is freshest.

2. Month-end takes a week

If the first five working days of every month go into reconciling turnover, ledger cards and incoming invoices, that is not accounting — that is manually joining systems that do not talk to each other.

3. One person is the bottleneck

There is a spreadsheet only one person knows how to open and fix. When that person is on holiday, the company runs slower. That is not their problem; it is a structural one.

4. You do not know the margin until the month is over

If the answer to “how much did we make on this customer this week” arrives three days later, decisions get made on instinct. Prices, discounts and campaigns are then set from memory rather than from data.

5. The discount depends on who issues the invoice

When discount policy lives in the heads of the sales team, the same customer gets different terms depending on who serves them. This almost always surfaces too late — during a complaint or during collections.

6. Growth means more people doing the same work

Twice the invoices means twice the data entry. If back-office headcount rises in step with turnover, the system is not scaling — it is being pushed.

What actually changes

None of this is fixed by a better spreadsheet. It is fixed by one place where data is created once and everyone else uses it: issue an invoice, and stock is released, turnover is posted and the report is correct without an extra step.
